Furthur to the munch posting we are now hosting a social on the 14th of April 2007. It will be held in Cardiff - exact venue to be told near the time. The venue is near to lots of hotels, many within five minutes walking distance & is on public transport routes, near to the city centre.
As this is now a social we are limiting numbers to a total of 60 which is divided as follows.
10 single males (10 people)
20 couples str8/bi/gay inclusive (40 people)
10 single females. (10 people)
(60 people total)
If you would like to attend please list you're names, it's 1st come first added.
We estimate it will cost arround £10 per person which includes a buffet and a DJ.
If you need any more info or a hotel list please do not hesitate to e-mail us.

As the previous post says this includes room hire, DJ and food. We have spoken to others and they seem to think that £10 is appropriate.
If anyone has other sugestions then we are welcome to them. However if everyone finds this excessive then the cost will be lowerd, however food will not be included.

Personally, I think this is way over the top and I would not put my name down for something so expensive.
Both Sarah and myself have run many socials and munches and can assure you the costs normally run around a couple of pound per person. Doing a buffet yourself works out around £2 per head (and I mean a big buffet, not a picky little thing) but you will more than likely find that on a social night out, the majority of people dont want food. Most of it is left and then thrown away.
Also be aware you will have to keep all receipts and keep a note of all your costs involved, so that anyone who attends can have full access to them.
Again, only my personal opinion, but I think you are trying to do too much too soon. Start small and see how it goes, dont jump in at the deep end and end up being out of pocket.
I would also be concered about the way you are limiting the people attending as you will find that if it is a social the numbers/mix of people really dont matter. Now if it is a swinging party, I can understand why, but when you go down the local pub or go to the pictures, out for a meal, you dont find restrictions put on the number of males, females or couples!

I arranged the Nottingham Munch 13th Jan 2007, one of many I have arranged, and there were about 191 people there, and it cost nothing like that, DJ = FOC, £10 for the late license, Room refundable £50 deposit. The rest of the money was given to one of the ladies off SH who is doing a charity trip and the DJ. Tip for the bar staff
How ever I wish you all well, like NWC says I hope you have all the reciepts for this event as if I was attending I would certainly want to see them!

If you look at the site carefully you will find out that Sarah, in particular, is a very experienced organiser of socials and munches and, on the balance of probablity is guaranteed to know more about the cost of them than you. She also knows exactly what she is talking about so you'd be better to listen to her advice than being sarcastic to her!

Hi, I wasnt being sarcy just stating a fact! The thought of 191 people is mind blowing, hats off to sarah. Population of wales aint much more lol. All I was saying was that £10 is a fair cost we think,so did everyone else in the wales chat dont have the luxury of free room hire/DJ, believe me we tried!! As for a receipt,In the email we sent to all people interested it states "Copy of invoice will be available" We organised this as something a little different,wales socials seem to consist of down the pub for a pint! We are deffo not in the game of ripping people off.

And the money was collected by passing a pot around for voluntary donations. Sarah had the confidence that people would stump up - but I can understand that if it is a first time event then you may want the certainty of making a charge.
Many munches/socials do not have food provided. This can be a better option (takes up space, liabilities, gets messy/smelly, needs clearing up) but if there are not many restaurants nearby, it may be necessary - that's obviously not the case in Cardiff.
Lots of places will let you have the room free if they think enough is going to come in profit over the bar. Might be worth trying yer negotiating skills on that one.

P'raps I'd better add that I am not claiming to be an expert - I've just rambled on a bit. There are people here who are real experts at this sort of thing - Sarah being one.

What you all have 2 remember is the cost of hiring a venue is very different depending what area of the country you are in. We could get free room hire yes, in the middle of no where, no hotels and hard 2 get to and expensive drinks.
For all of you who seam to want to stick your noses into an event you are not even thinking of attending the costs are as follows.
Room hire £75 =
Buffet = £480 = pp
DJ = £45 = pp
Total cost = £600, 60 ppl attending = £10 pp
Anyone else who wants to moan if you want to do it different thats what you do. We don't tell you how to do your socials, please don't tell us how to do ours!!!

Actually, if it's up in LMU, billed as a Social and open to site members generally then it is everybody's business whether you like it or not, and folk are entitled to voice their oppinion on it.
£10 per head is way over the odds - I certainly would be expecting something pretty spectacular for that price tbh and while you & others from the chatroom might not agree & be happy to pay over the odds for an exclusive, cliquey little doo, most people reading this might stop to think that this kind of door charge is just not the done thing & will always raise questions - Nor is the 'if you're not from our area' crap :dry: You couldnt get further from the site definition of Munch or Social if you tried - and its showing lol
Personally, I'd drop the buffet & keep your costs down, or do the food yourself - but that's already been suggested, or arrange drinkies before the social, somewhere where folk can grab a bite to eat beforehand and not be ripped off. Sometimes you cant avoid room hire fees and right now I dont think its that £75 for the right venue thats the issue.

It is possible to get free or cheap room hire anywhere.

I think you'll find people are trying to be helpful and given that they have lots of experience of organising munches and socials, you really might want to consider listening to them.

All posts previous have their merits, but I think this is starting to get silly. We've been to many socials is south wales since last may, and have even ventured as far as Glos for one. We prefer to get out of our locality, as we are known, and for us we prefer to go to somewhere where there is a hotel next door. In this part of the world there are venues that are 'free' but choice is somewhat limited. The previous socials we've been too so far have all been great; like minded peeps enjoying an evening of no- pressure chat and drinking. The one we going to soon is somewhat different in that a charge has been made to cover cost of room, dj and buffet. Yes a buffet can be done by yourselves in order to keep costs down, but its still a lot of work for the few that will be doing it. By paying someone to prepare, serve and clear up afterwards means that all can enjoy the whole evening.
The whole point of something like this as we see it is to meet new peeps we've chatted with in the chatrooms. To us its the community this developes is more important than whose knickers you can get into :P . As far as excluding peeps from anything like this, I personally would not accept peeps from other parts of the country being made unwelcome. If they are prepared to travel to attend ANY event like this then they should be applauded.
As far as the comments regarding costs, well, if its too much , vote by your feet rolleyes . If everyone knows what's involved, then there should be no problem.
Perhaps a goodtime for a group hug ( or shag ) :P

Well we went to the social had a dead good time travelled 4,000,000 miles to get there enjoyed welshie peoples freindly welcome. Met some old friends and new. Would travel 5,000,000 to got to the next one too!

We didnt mean at all that people not from our area are not welcome. Thats not what was our intended message at all.
What we meant was that if you arent familiar with the cost of venues and the such in Cardiff then please dont try and tell us how to run things. We have both checked and double checked the cost of places, even looking outside the cardiff area, and this is the best we could do.
We could get a free venue, in the middle of some side-streets down a few back alleys, and about £50 in a taxi to the nearest hotel.
Also as April 14th is a Saturday not many places will be up for negotiations as far as hire fees are concerned. We want a private room, no mix-ups that way as to who is and who isn't off the site, and to tell the truth we would have to guarntee at least 1000 people and roughly £4500 in takings to get a cheaper room. That's not even free!
We are trying our best here, as for the sugestion of doing the buffet our-selves, there are a few problems with that as well:
1: The room then costs more
2: If the social does not finish until about 12pm, we
would then be there until 4am cleaning up (maybe a
slight exageration, but you get my meaning!)
3: Mrs wiz has done many buffets, engagements parties,
Weddings etc etc. It is a lot of work. First of all
I need to know what everyone eats, as i would not
be prepared to spend 3 days preparing food that no
one likes. With a set buffet there is a wide
choice.
I would like to thank-everyone for trying to help us out, yes this is our first social, and yes we are taking a big step. However I for one do not appreciate being made to feel like a 4 year old who cant tie her own shoe-laces. I am capable of hosting and organising a party, as is Mr Wiz Do not forget, it was our day jobs!
Again thank you for attempting to help, and sugestions are welcome, but if all you'r goping to do is criticise then please save it, we dont want to know.
To everyone who has put they're name down, we will be in touch within a few days, if you would like a local hotel list please let us know and we will put one together for you and e-mail it.
Again people not from the south wales area are welcome if you have a problem with the price i have a sugestion to you, host your own or find a free one. In cardiff you spend more than £10 to get into 2 clubs, before a drink! and definately no food!
We do not expect to find any more posts on here complaining about the price and you do have to have the buffet, im sorry but it is part of a package, thats like saying you dont want the DJ.

I agree with welsh wizards about trying to find a freebie in these parts. They're all as tight as a camel's arse in a sandstorm rolleyes I've been looking around for places for free for a charity event and I know how difficult it is.
If you have to charge because of the room hire and people are prepared to pay then that's fine.
I think people, me included, got the wrong message about those out of the area not being welcome but now you've explained what you meant, it's clearer though I think some have been trying to give you good advice here and not tell you you're going wrong.

I have to say big clap for ww for doing the social if their social is half as good as the pembs social last night(17th feb) then it is well worth the £10 i have real respect for anyone that takes time out to plan and do a social and if any one has a problem with it and want it for free i would say get off your arses and do one yourself its not as if you have to go and i would defo pay a 10er xx kiss

Sorry for any confusion - Lost bloke prostrates himself on the ground in abject apology for such a faux pas smile I meant to refer to welsh social on 17th Feb held by pembscouple.
Regardless of anything. We travelled 21/2 hours for a fabulous evening with fabulous ppl at a good venue well organised. Sorry to mislead
