Munch organisers information wanted

To all of you who have organized munchs before would just like a bit of information on the following.
% of attendees. What % of members who put there names down actually turn up? If I do this I am looking at how much to overbook by.
Dates to avoid. What are the rough dates of the larger munch's that are held annually. Dont really want to clash with anyone if indeed there are any almost annual ones besides Wigan anymore. I am looking at the later part of July BTW.
Pretty much everything else I already know as I am used to dealing with large scale events at work. Have re read the munch guides on here :thumbup:

Where I am up to. Have mailed vast amounts of establishments, have a few to view next week.

Well of the (27) socials we've organised on here the stats are:-
Couples - 85% usually turn up.
Single Females - 95% usually turn up.
Singles Males - only 20% turn up.
We usually look in the Lets Meet Forum and the Events list and pick a weekend when there's little on.

If I can sort a venue then yes it will be Bristol.
We have organised around 9 Munches and dozens of socials/BBQ's and have to say that our overall attendance figures are similar to those quoted by Gunfuncouple (80-90% attendance), however, we find that couples seem to be worst for turning up and dont bother letting you know they wont come (singles normally do let you know).
The room we have used lately allows 150 people, so we normally take up to 200 names, then when we normally ask everyone to confirm attendance around a month before. This normally drops to around 150 who do confirm, and I then move around 20-30 from the reserve list onto the main list, and this usually gives me around 140 - 150 on the night.
Some tips which have helped us over the years are firstly, avoide June, July and August. People are often on holiday and skint and as it is light nights, it makes them a little more visable attending the venue (some can be a bit nervous about this). During the summer months, people often have other things going on, but when the clocks go back and the nights draw in, they are looking for things to do. Also hotels are cheaper out of season, so people may be more likely to travel.
Try and give at least three to four months notice or you could end up with not filling the list but dont put it on too soon, or people put their names down and forget they have asked to come along.
If someone is new to the site or to the forums, make sure you have plenty of pm contact with them and that they are aware of what a munch actually is. The term munch is often used on BDSM sites and is slightly different to the ones organised on here. Also some new members just presume that it is a night of total debauchery lol
If possible, make sure the venue are aware that you are from a swingers site as you can put money on it that someone will take great pleasure in telling them during the night.
Get a mobile number where people can get in touch with you. It does not matter how good you are with your directions, you can guarantee loads will get lost on the night. Might be worth picking up a sim card just for the munch use.
Get a detailed hotel list, local taxi companies and if possible details of any local take aways/restaruants, you will be suprised how often you get asked for them.
There are probably loads of other things I could say, but the most important thing of all, is expect to be on your feet all night, run ragged, stressed to hell and have sore feet/back/legs etc the morning after but you will have one hell of a briliant night :lol:
I'll just add that, as a single female, I have been to a few Munches and always been made to feel very welcome. However, having a few people available who will volunteer to act as hand-holders and general newbie helpers is a great idea.
The hotel list and taxi list as detailed by Mrs NWC above is also a great help.

Oh yes, forgot about the hand-holders, a really good way of helping newer members feel that bit more safe/relaxed.
Also, help for covering the door is a good thing (otherwise you cant go to the bar or go for a wee all night) lol
From the munch I have arranged, out of about 200 (the most was 401 on the list, about 25 or so never showed up, from what I can remember)or so on the list, generally about 10 or so never turn up, and sadly it is often the singles, and no word of why either, although they all have my phone number in the final pm.
Generally I have held them either Jan or Nov time, and had no problem with attendance.
You will need:-
Venue (toilets, bars)
Hotels list
Taxi lists if people cannot walk there
Hand holders / maybe name badges, but if they are too small / in the wrong colour for the light people cannot read them
Dj / disco
Theme if you want one
Maybe if you feel up to it a pre munch afternoon drinking venue, (suggest a different one from the night venue) if not get someone else who is local to arrage such a thing.

You have given some food for thought some of which I had not considered. First thing I will say is I am not looking for anything of the scale of the above events. Being realistic this is Bristol lol We just dont get the numbers for events down here that you do up north. The previous Bristol munch's have hit maybe 100? Think I'll stick more to 50-75 capacity.
I'll maybe push the date back to the winter then and do a July social. I know where I can hold a social already with minimal effort or organization.
Any word on rough dates to avoid? I know Wigan is Chirstmas what else comes on between and roughly when? Bit tied for weekends as Mrs Tweeky works every other one. When you divide winter weekends by two and take out Christmas and January as everyones broke and possibly avoiding other events you get down to not a lot of weekends.

I think you might be suprised how many would travel, and us for one, would love to come down and meet you all, but September, October, November good, or possibly early June. Apart from the Leeds events which seem to be regular and the ones in Notts and Mids, Im not sure of any other regular ones.

Oh dear, a sad showing for the single males, but I wonder how many turn up, sus the place out, then don't go in. I do think it's understandable, I would want to go a function, but then on the day wouldn't want to actually go in on my own when it came to the crunch.
So, I don't put my name down for things - easy.

That's why a lot of the Munch organisers arrange for more experienced Munch-ers to act as welcomers/hand-holders. I know that at many of the North West events you can call a Munch phone number and the organiser will come out and meet you.

To avoid confusion I mean we had people hand hold us the first time we attended a munch.
Now had a volunteer to co host :happy: we may actually get there in the end.

Trouble is that as soon as I mentioned conference planing stuff based on prince2 principles the poor tweekies thought I was offering to do something with fuzzy wizzy women, ....so we may get there in the end but not sure how Im going to walk after being fuzzy wized, or the tweekies being prince2'd..... dunno
At least they know I'm good at making everything up as I go along, but get there in the end.
