We were chatting about a recent social and how having everyone at the same accomodation venue would have made things more fun.
Somebody then suggested that block booking a hotel and function rooms would be perfect, much as one would do for a wedding or convention.
I wondered if anybody had any experience of events on such a basis who could share their experience.

only comment i would make..is don't tell them its a swingers meet, as never get function room 
.... to many pre-concieved ideas of what swingers social might entail ! But the basic idea of a social at a hotel function room would be perfect. Just get everyone to then book the rooms themselves.....and with all socials take it that 30% that put their name down will actually not turn up !!!

We held a social 3 years ago in Birmingham along the same lines. It was a black & white ball and we hired the function room and everyone stayed at the same hotel. It wasn't difficult to organise at all.
The infamous Herts Tarts munches on here were the same as well and LOTS of fun

Its a great concept if the people come. You say block book well I wouldent book anything myslef other than the function room then leave the rest to the members. I certainly wouldent go paying for rooms up front. If you ever decide to host one in Bristol count us in

The last BBW room (Essex) Social in May was basically in this format, with the overwhelming majority of people sourcing accommodation in the same hotel at usually a good deal when booked early (we'd spoken to the hotel concerned to obtain a group booking code which people could quote when booking).
Obviously as this was a Social the actual venue was not advised to the attendees until the week before the Social and was different to previous BBW room (Essex) Socials and probably any future BBW room (Essex) Social ones (certainly different to all other ones we are involved with).

- and whilst Munch Guidelines http://www.swingingheaven.co.uk/terminology/munch.html don't strictly apply to Socials, they are also a good helpful set of guidelines for people organising Socials to read/work with.
One thing to consider with Hotel Function Rooms is that they are not licensed bars per se, in that yes they will have a bar but this is usually incumbent on food being served/provided (usually by the venue) and this can increase the room hire cost.

Put in a Temporary Events Notice (TENs) at the local authority for £21 and you could have the function room and bring your own bar if they do not have one
We attended a social were nearly the whole hotel was taken up by members, except for about 2 rooms. I don't think it was done by design, just that everyone on the list seemed to book at the same hotel. It was a great social and the party was extended at the hotel
